How many properties and units can this template handle?
The template is designed for portfolios of 1–50 properties with up to 200 individual units. For larger portfolios, the Excel workbook can be extended by copying unit rows and updating the dashboard formulas. The portfolio dashboard aggregates data from all property sheets automatically as long as you follow the naming convention in the instructions tab.
How does the late fee calculation work?
Enter the grace period (e.g., 5 days after the 1st), late fee amount or percentage, and each tenant's payment date. The template automatically calculates whether a late fee applies, the fee amount, and cumulative outstanding balance. For tenants with partial payments, enter the amount received and the formula calculates the remaining balance and applicable fees.
Can I track commercial and residential properties in the same workbook?
Yes. The property configuration sheet lets you designate each property as residential or commercial, with separate lease term structures (annual vs. multi-year commercial leases). The expense categories cover both property types, and the NOI calculation adapts to CAM (common area maintenance) charges relevant for commercial leases.
What maintenance categories and priorities are pre-configured?
Maintenance requests are categorized as Emergency (24-hour response), Urgent (3-day), Routine (30-day), and Preventive Maintenance. Categories include HVAC, Plumbing, Electrical, Appliances, Structural, Landscaping, and General. The priority levels trigger conditional formatting so overdue emergency items are immediately visible in the dashboard.
