The Resource Allcoation template is designed to communicate to your customers where your staff is spending their time.  This provides an overview of how much time your team is spending supporting applications and enhancing them.

Read on for a detailed description of the terms, variables and column values in this worksheet:

Terms

FTE – FTE stands for Full Time Equivalent.  An FTE is a way to measure the amount of people involved in an application   For example, if you have one person working full time to support an application, they will be allocated as 1.0 FTE to that application.  A person working half time on that application would be allocated as 0.5 FTE.

Variables

Total Staffing – Enter the total number of FTE’s that you will have on staff for the year.  Enter your employees on the internal section and any contract or outside laborers in the external section.   Log all entries as an FTE.

Columns

Application – Enter the name of the application here.  You can also enter infrastructure components as separate items (i.e. file servers or desktops) and record the same information.

Business Owner – The Business Owner is the primary point of contact for the application.  This person has direct responsibility from the business side for delivering the solution.   This person is typically the one who knows the specifics of what the system needs to do to deliver business value.

IT Owner – The IT owner for the application is the person responsible for that application on the IT side.

Support – Internal – The Support – Internal column is used to describe the number of internal people who will be maintaining the application for the year.  You can typically get this information from a time tracking system.  If you don’t track time this way,  you can ask your team to estimate the number of hours over 3 weeks and then use the associated percentage.

Support – Contract – The Support – Contract column is used to document the number of external people who will be maintaining the application.

Project – Internal – The Project – Internal column is used to describe the number of employees who will be working on ehancing the application.   These projects would be entered in the project summary worksheet.

Project – External – The project – external column describes the number of contract personnel who will be working on enhancing the application.   These projects would be entered in the project summary worksheet.

Comments – This column is for any general comments that you may want to make about the project.
